Syncap ("we", "our", or "us") is operated by Viclab AI. This Privacy Policy explains how we collect, use, and protect your information when you use the Syncap app (iOS, watchOS, and web) and related services. By using Syncap, you agree to the practices described in this policy.
2. Information We Collect
Account Information: When you sign up, we collect your email address and an optional display name.
Audio Recordings: When you record meetings, lectures, or other audio, the recordings are uploaded to our secure cloud servers for AI processing.
AI-Generated Content: We process your audio to generate transcriptions, summaries, key points, mind maps, and speaker identification. This content is stored in your account.
Device Information: We collect basic device information (device model, OS version) to provide compatibility and improve the app experience.
Usage Data: We collect anonymous usage statistics to improve our services, such as feature usage frequency and app performance metrics.
3. How We Use Your Information
We use your information to:
• Provide AI transcription, polishing, summarization, and mind map generation
• Store and sync your recordings across devices
• Enable document export (PDF, Word) and sharing features
• Sync meeting notes to Google Docs when you authorize
• Process subscription payments through Apple In-App Purchase
• Improve our AI models and service quality
• Send important service notifications
4. AI Processing
Your audio recordings are processed by cloud AI services to provide transcription and summarization:
• China region: DashScope (Alibaba Cloud) for transcription, Qwen for summarization
• Global region: DashScope for transcription, Google Gemini for summarization
Audio is processed in real-time and we do not use your recordings to train third-party AI models. Processed results are stored in your account and can be deleted at any time.
5. Data Storage and Security
• Audio files are stored on Alibaba Cloud OSS with server-side encryption
• User data is stored in PostgreSQL databases hosted on Alibaba Cloud RDS
• All data transmission uses HTTPS/TLS encryption
• Authentication tokens are encrypted using AES-256-GCM
• OAuth tokens for third-party integrations are encrypted before storage
• We implement security middleware to protect against common web attacks
6. Third-Party Services
Syncap integrates with the following third-party services when you explicitly authorize:
• Apple In-App Purchase: For subscription payment processing
• Google Docs: Optional document sync (requires your authorization)
We only access these services with your explicit consent and only share the minimum data necessary for the integration to function.
7. Data Retention
• Your recordings and AI-generated content are retained as long as your account is active
• You can delete individual recordings at any time, which removes the audio, transcription, and all associated data
• If you delete your account, all your data will be permanently and immediately deleted
• Temporary processing data (audio in transit) is deleted immediately after AI processing completes
8. Your Rights
You have the right to:
• Access your personal data stored in your account
• Export your recordings and summaries (PDF, Word)
• Delete any or all of your recordings and data
• Disconnect third-party integrations at any time
• Delete your account entirely
• Opt out of anonymous usage analytics
9. Children's Privacy
Syncap is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe we have collected data from a child, please contact us immediately.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes through the app or by email. Continued use of Syncap after changes constitutes acceptance of the updated policy.
